1. What Information Do We Collect?
In Short: We collect the information you provide when you inquire about coaching or book an appointment.
We collect personal information that you voluntarily provide to us when you express interest in our coaching services, submit an inquiry through our contact form, or book a discovery call or session through our online scheduling tool. The personal information we collect may include: your name, email address, phone number, and any message or details you choose to share about your situation or goals ("Inquiry Information"); and, when you book an appointment, your preferred date and time, contact details, and any notes you provide during booking ("Booking Information").
If you participate in virtual coaching, we may also collect session-related information through Microsoft Teams, including meeting details and, where a session is recorded, the recording itself. We also collect limited technical information through cookies and similar technologies, as described in Section 6.
All personal information you provide to us must be true, accurate, and complete, and you agree to notify us of any changes.
2. How Do We Use Your Information?
In Short: We use your information to respond to you, schedule and manage sessions, and communicate about your coaching engagement.
We use the information we collect to: respond to your inquiries; schedule, confirm, reschedule, and remind you of discovery calls and coaching sessions; host and, where applicable, record virtual sessions; communicate with you about your engagement; and maintain accurate records of our professional relationship. We do not use your Inquiry, Booking, or session Information for advertising or marketing purposes without your separate consent.
3. Coaching Confidentiality
In Short: What you share with us — in an inquiry, a booking note, a coaching conversation, or a session recording — stays confidential, consistent with the ICF Code of Ethics, and is never disclosed without your consent except where the law requires it or where someone's safety is at risk.
In keeping with the International Coaching Federation (ICF) Code of Ethics, we treat all information you share with us — including inquiry messages, booking notes, the substance of coaching conversations, and any session recordings — as strictly confidential. We do not disclose your information to any third party without your explicit consent, except where disclosure is required by law or necessary to prevent imminent harm to you or others. This commitment applies for as long as we retain your information, including after your coaching engagement ends.
5. Third-Party Services We Use
In Short: We use Microsoft 365 Bookings, Microsoft Forms, and Microsoft Teams within our enterprise Microsoft 365 environment, and cookies that help those tools run.
Our website uses Microsoft 365 Bookings to manage appointment scheduling and Microsoft Forms to collect inquiry submissions, both operated within our enterprise Microsoft 365 tenant. Virtual coaching sessions are conducted using Microsoft Teams. With your knowledge, sessions may be recorded for coaching, quality, and record-keeping purposes. Recordings are stored in our enterprise Microsoft 365 environment and treated as confidential coaching records.
When you book an appointment, submit an inquiry, or join a virtual session, your information is transmitted to and stored within Microsoft's secure cloud infrastructure and is subject to Microsoft's own privacy and security practices, described in the Microsoft Privacy Statement. We access this information solely to manage your inquiry and coaching engagement, and we do not authorize Microsoft to use it for its own advertising purposes.
These Microsoft tools, and our website, may set cookies and similar technologies. That use is described in Section 6.
7. How Long Do We Keep Your Information?
In Short: We keep coaching records, including session recordings, for two years after your engagement ends, unless the law requires a longer period.
We retain your Inquiry Information, Booking Information, and session records — including any Microsoft Teams recordings — for two (2) years after your coaching engagement ends, or longer if required by law, tax rules, or professional record-keeping obligations. Inquiry records that do not become a coaching engagement are retained for two (2) years from the date of the inquiry. When no longer needed, we securely delete or anonymize your information.
8. How Do We Keep Your Information Safe?
In Short: We rely on Microsoft's enterprise-grade security to protect the information you share with us.
We have implemented appropriate technical and organizational safeguards to protect your personal information, including hosting inquiry and booking data within our enterprise Microsoft 365 environment, which maintains its own industry-standard security certifications and controls. However, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security. You should only submit information to us through official, secure channels.
9. Do We Collect Information From Minors?
In Short: We do not knowingly collect information from anyone under 18.
Our Services are not directed to individuals under 18 years of age, and we do not knowingly collect personal information from children. If we become aware that we have collected personal information from someone under 18, we will take reasonable steps to delete it. If you believe we may have collected information from a minor, please contact us using the information in Section 14.
10. What Are Your Privacy Rights?
In Short: You may request access to, correction of, or deletion of your personal information at any time.
Depending on where you live, you may have rights with respect to your personal information, including the right to:
- Access a copy of the information we hold about you
- Correct inaccurate information
- Delete your information, subject to our legal and professional record-keeping obligations
- Request how your information has been used
To exercise any of these rights, contact us using the information in Section 14. You will not be discriminated against for exercising these rights.
11. Do We Have Specific Disclosures for California Residents?
In Short: California residents have additional rights under the CCPA, which we honor.
If you are a California resident, you have the right to know what personal information we collect, use, and disclose, the right to request deletion of your personal information, and the right to non-discrimination for exercising your privacy rights. We do not sell personal information. To exercise your rights under the California Consumer Privacy Act (CCPA), contact us using the information in Section 14.
12. Do We Transfer Personal Information to Other Jurisdictions?
In Short: Your information may be processed on Microsoft's servers, which may be located outside your home state or country.
Because we use Microsoft 365 Bookings, Microsoft Forms, and Microsoft Teams, your information — including session recordings — may be stored or processed in data centers operated by Microsoft, which may be located in jurisdictions other than your own. Microsoft maintains its own safeguards for cross-border data transfers as described in its Privacy Statement.
13. Do We Make Updates to This Notice?
In Short: We may update this notice periodically, and the "Last Updated" date will reflect any changes.
We may update this Privacy Policy from time to time to reflect changes in our practices or for legal or operational reasons. We encourage you to review this page periodically.
